Granting and revoking rights for users and groups

Go to the User management module.

Image: User Management module, Assigning rights

  1. In the Groups pane to the left, select a group.
  2. Go to the Project tree tab, located on the right, and select your project.
  3. Allocate rights by checking or clearing the corresponding checkboxes.
  4. Click on Save.

  1. Note

** Important information to granting rights**:

  2. The Administrators group has all four levels of rights by default and this cannot be changed. By default, administrators are granted all rights to all directories and components.

  3. The folder icons for The four levels of rights (see screenshot), are as follows:

  4. Read: check-out components

  5. Edit: Edit, create new versions and check-in
  6. Create: Create new components
  7. Delete: permanently delete components from the server archive

Note

All users can delete components from their local client archives.

  • Rights are cumulative, hence lower rights are always automatically checked.
  • Individual user rights remain, no matter what you do with group rights (a reason to avoid assigning individual rights). If you use group rights, as far as possible (or even, ideally, exclusively), then you will not have to review remaining individual rights after editing group rights.
  • A green check-mark indicates the root of a right.
  • A gray check-mark indicates an inherited right.
  • You cannot clear a grey check-mark to remove an inherited right. If you try, you will find that instead of the gray check-mark disappearing, a green one will appear. Inherited rights (grey ticks) cannot be directly removed. They need to be removed at the root.
  • When using tooltips you will be shown the root of the right.
  • To remove some of the inherited rights from a user or users in a group, but leave the existing rights for other members of the group, you need to create a new group for these users.

Grant rights according to the path in the project tree

This function enables you to grant rights according to the path in the Project tree. You can also use it as a quick way of finding out who has access to a specific component. Proceed as follows:

  1. Click on User management.
  2. In the Extras tab, click on the ribbon item Rights by path.
  3. Select a component/ folder. This is located in the Rights by path dialog in the Project tree.
  4. The right-hand pane displays the rights of the groups/ users to the components in the Project tree. Edit the rights according to your specifications for the users.
  5. Finally, save your configuration.

Granting group rights for component types

This function can be used to assign rights to selected component types to groups. You can do this at the root level of the Project tree, or for specific directories.

Note

This function allows you to assign rights only to component types that already exist in the Component library. The

process must be repeated for each component type that is checked in again.

Open the User management then carry out the following steps:

  1. In the tab Extras, click Rights by component type.
  2. The dialog Rights by component type will appear.
  3. Select the Group that you wish to grant rights to.
  4. Select a Path by selecting a directory in the Project tree.
  5. You have the option to revoke previous rights before you grant new ones. Check the checkbox Remove all current rights. 1. Image: Rights per component type dialog, Section removing previous rights

Note

  1. All previous rights of the selected group for the selected path or the entire Project tree will now be revoked.
  1. In order to select the component type to which you wish to grant the rights, click on the field Component types. Check the checkboxes to the left of the component types to which you wish to grant rights to. Only rights to these component type will be granted, and only for the components located within the directory you selected in step 4. If you want to select all the components of a specific device, check (in the highest level) the checkbox next to the producer’s name.
  2. Go to the New rights dropdown menu and set the rights that you want to grant.
  3. Select Execute.
  4. The dialog Edit policies will appear and shows details about each individual modification that was made. !!! note

If you do not see details of each individual modification, then there were no changes made. This means that the selected rights for this combination of group, path and component types had already been assigned.

  5. Close the dialog Edit policies.

  6. Use the ribbon to save or discard changes.
